Quality Control Checklist for Bulk Backpack Orders
The best wholesale supplier in the world ships occasional defects. The difference between a good buyer relationship and a disaster is whether you catch problems before the container leaves the factory. This QC checklist covers the 30 inspection points that matter most on wholesale backpack orders.
When to inspect
Three inspection points in any wholesale order:
- During production (DUPRO): at 30-50% completion, catches systemic issues
- Final random inspection (FRI): at 80-100% completion, before shipment
- Loading inspection: at container loading, verifies quantities and packaging
For orders over 500 units, hire a third-party inspection service ($300-500). For smaller orders, ask your supplier for photo and video documentation.
Random sampling math
Inspection follows AQL (Acceptable Quality Limit) standards. For backpacks, AQL 2.5 for major defects is standard:
- 500-unit order: inspect 50 units (10%)
- 1,000-unit order: inspect 80 units (8%)
- 5,000-unit order: inspect 200 units (4%)
If defect rate exceeds AQL, the order is rejected and reworked before shipment.
Major defects that should reject the order
- Wrong fabric color (more than slight Pantone deviation)
- Wrong dimensions (more than 1cm deviation)
- Missing components (no padded back panel, missing zipper pulls)
- Broken zippers on more than 2% of units
- Holes, tears, or contamination on the fabric
- Wrong logo print or embroidery
The 30-point inspection checklist
Materials (1-7)
- Fabric color matches approved sample (Pantone +/- 1 shade)
- Fabric weight / denier matches spec
- Lining color and weight correct
- No fabric flaws (holes, runs, contamination)
- PU/PVC coating fully applied on waterproof bags
- Mesh on side pockets is undamaged
- Foam padding on back panel and straps is even thickness
Construction (8-15)
- Stitch count per inch matches spec (typically 8-10)
- No loose threads on visible seams
- Reinforcement bartacks at stress points (strap attachments, handle)
- Seam allowance consistent
- Bag holds shape when empty
- Symmetrical from left to right
- Bottom panel reinforced
- No fabric puckering or pulling
Hardware (16-22)
- YKK or branded zippers (not unbranded)
- All zippers operate smoothly in both directions
- Zipper pulls attached securely
- Buckles snap and release correctly
- D-rings and metal hardware not bent
- Adjustable straps slide and lock properly
- Magnetic snaps engage at proper distance
Logo and branding (23-26)
- Logo placement matches approved sample
- Logo size correct (+/- 2mm)
- Logo color correct
- Embroidery has clean edges, no loose threads; screen print has no smudges or cracks
Packaging (27-30)
- Each unit in individual polybag
- Hangtag attached correctly
- Inner carton label correct (style, color, quantity)
- Outer carton labeled correctly (HS code, shipping marks)
Functional testing
Beyond visual inspection:
- Load test: fill bag to capacity with weights for 24 hours, check for stretching or strap damage
- Drop test: 1m drop on each face, check for hardware breakage
- Water test: spray bag exterior, check for leaks at seams
- Zipper cycle test: 100+ open/close cycles, check for failure
- Sun fade test: 48 hours direct sun on fabric panel
Communication with your supplier
Document everything with photos and video. Send results within 48 hours of inspection. Use a standardized report format so issues are clearly categorized as major / minor / cosmetic. Most reputable suppliers will rework or refund on major defects.
Acceptable defect rates
- Major defects: 0-2.5% (AQL 2.5)
- Minor defects: 2.5-4% (AQL 4.0)
- Cosmetic defects: 4-6.5% (AQL 6.5)
If your inspection shows higher rates, push back. Don't accept the shipment as-is.
